The Opportunity

We are seeking a highly organized and proactive Marketing Coordinator to support our Private Wealth Management division. This role acts as a central hub for the National Event Strategy team, facilitating the seamless execution of both high-touch in-person events and sophisticated virtual webinars.

The ideal candidate will be a master of logistics and marketing automation, ensuring that every touchpoint—from the initial invitation to post-event analysis—is executed with precision and professional polish.

Core Responsibilities

1. Event Strategy & Logistics

  • End-to-End Coordination: Assist with venue searches, vendor management, payment processing, and budget tracking/reconciliation.

  • Virtual Events: Set up and manage high-quality webinars via Zoom, ensuring technical readiness for all virtual engagements.

  • Calendar Management: Maintain the National Event calendar to ensure visibility and alignment across global teams.

  • Asset Production: Create professional biography books and detailed agenda documents using the Microsoft Office suite.

2. Marketing Automation & CRM

  • Communications: Design and deploy internal and external communications, including invitations, announcements, and landing pages using Pardot.

  • CRM Management: Build and manage campaigns in Salesforce, ensuring accurate data entry and meticulous attendance reconciliation.

  • Feedback Loops: Develop nomination forms and post-event surveys using Survey Monkey to capture actionable insights.

3. Compliance & Administration

  • Regulatory Oversight: Liaise with the Legal department to secure approvals for slides, recordings, and marketing materials.

  • Team Support: Schedule critical internal and external calls and assist with ad-hoc project work as required by senior leadership.

Qualifications & Attributes

Professional Experience

  • Support Background: Minimum of 3 years of experience in an administrative or support role.

  • Domain Knowledge: Prior experience in Marketing or Event Management is highly preferred.

  • Tech Stack: Proficiency in Salesforce, Pardot, Survey Monkey, and Zoom is a significant advantage. Mastery of Microsoft Word, Excel, and PowerPoint is required.
