Executive Assistant
Location: Pune, India Experience: 3–5 Years
The OpportunityWe are seeking a proactive and highly organized Administrative Assistant to support our team of investment professionals. This role is designed for a resourceful individual who thrives in a demanding, time-sensitive environment. You will serve as the operational backbone for the team, managing complex logistics and coordinating across global departments to ensure seamless business operations.
Core Responsibilities1. Strategic Calendar & Meeting Management
Active Scheduling: Manage high-volume, complex calendars, including scheduling, confirming, and re-prioritizing meetings as urgent business needs arise.
Proactive Oversight: Regularly review upcoming schedules to anticipate logistical needs and resolve potential conflicts before they occur.
Materials Preparation: Gather, organize, and prepare comprehensive briefing materials and agendas for both internal and external meetings.
2. Travel & Logistics Coordination
Global Travel: Arrange complex domestic and international travel itineraries, including flights, accommodations, visas, and ground transportation.
Expense Management: Quickly master internal systems to process expense reports, service requests, and travel reimbursements accurately.
3. Business Support & Project Coordination
Document Production: Prepare and edit high-quality PowerPoint presentations and Excel documents for investment reviews and client meetings.
Project Assistance: Support special projects, event planning, and the creation/distribution of surveys or research reports.
Inquiry Management: Act as a central point of contact, responding to daily inquiries and facilitating communication between senior management and external stakeholders.
Experience & Education
Experience: 3–5 years of professional administrative support experience, preferably within the Financial Services or a similarly fast-paced corporate environment.
Education: Undergraduate degree required.
Technical Proficiencies
Microsoft Office Suite: Advanced proficiency in Outlook, PowerPoint, Excel, Word, and OneNote.
Systems Agility: Ability to quickly learn and navigate intranets, shared workspaces, and enterprise resource planning (ERP) tools.
