Executive Assistant
Overall purpose of role
Dedicated administrative support to the India Investment banking Head and the Corporate Finance Team
Key Accountabilities
Support the India CEO & M&A team (includes multiple senior MDS and Directors) with administrative aspects
relating to the Function such as diary management, travel bookings , client meetings and manage senior
visitors into the region.
Assist with processing invoices by liaising with external firms and internal business approvers
Process and reconcile expenses for team members
Secure conference rooms/video-conferencing for meetings and events
Track Senior Visits in the country – own the itinerary where Transaction banking is the host.
Create and maintain team distribution lists where applicable
Provide individual administrative assistant support on request (including answering phones, printing, photo-
copying, scanning, arranging couriers, delivering mail and planning meetings/managing diaries)
Pro-actively ensure all new joiners (permanent, contractors and secondees) to the team are fully on-boarded
from an administrative/technology perspective
Organise travel arrangements and itineraries
Assist in establishing best practices by partnering with the other assistants in the region to achieve high
performing standards and efficiencies
Assist in cross border requirements & approvals for business trips
Other ad hoc duties on request

Essential Skills/Basic Qualifications:
• Strong interpersonal skills
• Relevant experience of secretarial / administrative experience
• Working experience with Microsoft Word, PowerPoint, Outlook and Excel
• Fluent in English (both written and oral)
• Excellent communication skills
• Consistent attention to detail and accuracy
• Experience of working in financial services
• Awareness about information security and confidentiality
• Service oriented attitude that works well with a wide range of stakeholders
• Strong time management and personal organisation skills.
• Able to effectively plan and prioritise to set and meet deadlines
• Passion for continuous improvement
• Able to act independently and exercise good judgment

• Graduate in any discipline
Desirable skills/Preferred Qualifications:
Previous experience of managing multiple senior level stakeholders
Previous experience of using planning tools and Microsoft office
Billing and vendor management experience within financial services / corporate including experience of eBilling
Ability to work remotely with different time zones
